SUMMARY
The HR Secretary is responsible for assisting human resource bodies of the business, namely, the Head of Operations, President, as well as the Managing Director. They embody our main values of omotenashi (hospitality), ikigai (the purpose of being needed by our customers), and mindfulness (acceptance of others as they are) in going about their work.
SCOPE OF WORK
1. Organization
a. Sorting, Scanning, Filing of all business files (eg. forms, 201 file, receipts, incident reports, etc.)
b. SSS, PHIC, HDMF monthly contribution processing and file keeping in coordination with the company accountant.
c. Monthly submission of official receipts summary, as well as rent, and utilities expenses to the company accountant.
d. Preparation of all new employee documents.
e. Collating, scanning, & filing all approved and rejected applicants and employees.
f. Assists all board members with work related matters such as, but not limited to:
a. President
b. Operations
c. Sales and Marketing
2. Writing and Updating of Company Documents
a. Creation of company letters and memorandums.
b. Updating of all forms (employees and management), when needed.
c. Writes any HR and executive related documents.
3. Hiring
a. Processes the first part of the hiring process for all employees. (Initial contact, gathering of all the necessary information, processing of requirements, and first interviews)
b. Coordinates with the respective HR bodies of the organization for the second part of the hiring process as well as checking their appropriate schedules.
4. Employee Relations
a. Responsible for working with the company HR bodies in seeing that all new employees are oriented.
b. Scheduling of the appropriate venues for trainings, and orientations.
c. Enforces Blueturtle's policies.
QUALIFICATIONS
1. Possessing at least a high school diploma.
2. Well organized.
3. Trustworthy.
4. Proficiency in both English and Filipino languages.
5. Efficient and diligent worker.
6. Flexible
7. At least a background in HR and/or secretarial services.
8. Proficiency in MS Office.
WORKING CONDITIONS
1. The HR Secretary has a six (6) day work week for eight (8) hours per day from Mondays to Fridays, and four (4) hours on Saturdays.
2. When needed and approved, staff may be required to work longer than eight (8) hours but they are justly compensated.
3. The HR Secretary may be asked to travel from the company office to the place of operations when needed or scheduled.
4. When needed staff may be required to do errands for the company, such as but not limited to: paying bills, delivering/submitting documents, etc.
